Transcript
One of three
Leila Mansour: Layla's residence visa was stamped last week. Is it on her file?
Mariam Saleh: Not yet — nor her signed contract.
Lina: Layla's fifth week. Today: her file — what's on it, what's missing, and what expires.
Lina: The file: what's on it, what's missing, what expires — and how a request reaches the employee.
The documents tab
Lina: The documents tab. Five files came in with her application — passport, degree, a reference, a photo and her CV — sorted into folders.
Lina: At the top, the file's health: one of three required documents.
Lina: And one-click buttons for the documents a record needs most.
What is missing
Lina: At the bottom, the two that are missing, both marked required: a contract,
Lina: and a visa or permit.
David: Who decides what's required?
Lina: The company, folder by folder — here, the three things nobody in the UAE works without.
Upload
Lina: The signed contract, Mariam already has. Upload: the contracts folder, a title, and the file.
Expiry and tags
Lina: Its end date goes in as the expiry, and a tag.
David: Why tag it 'signed'?
Lina: Tags cut across folders: every signed document, on every record, in one search.
Two of three
David: Uploaded: two of three,
David: and the contract shows how long it has left.
Ask for it
Lina: The visa is Layla's, so Mariam asks her for it: a name, who it comes from, the folder it belongs in, a week to answer, and a line of explanation.
Upload, or ask
Lina: Two documents were missing, and they take two different routes.
Lina: The signed contract was in Mariam's hands; the visa is in Layla's.
Lina: So one is an upload — folder, title, file — and the other a request: a name, who it's from, and the folder.
Lina: One gets an expiry and a tag; the other, a week to answer and a message.
Lina: And each will show who put it there: Mariam for the contract, Layla for the visa.
David: And until Layla answers?
Lina: The file keeps a place for it.
A placeholder
Lina: The request becomes a placeholder, in the folder it will fill — amber, with its due date and who it's waiting on.
David: And how does Layla know?
Lina: It's waiting in her self-service.
Her side
Lina: In Layla's self-service, My Documents shows what HR has asked for — the message, the due date, and an upload button.
Lina: Below it, everything already on her file.
Answered
David: She picks the file — and it's with HR.
Lina: It's on her file now, in the place HR made for it.
The round trip
Lina: The whole round trip:
Lina: a request makes a placeholder,
Lina: the placeholder waits in her self-service,
Lina: her upload fills it,
Lina: and the file is complete — with a note on her record for HR.
David: No email with an attachment, then.
Lina: And nothing to forward, rename or file by hand.
All clear
David: Back on Mariam's side, the file reads three of three — all clear.
One, two, three
Lina: The morning, in three steps.
Lina: It began at one of the three required documents.
Lina: Mariam's upload of the signed contract made it two.
Lina: And Layla's visa, sent from her own self-service, made it three.
Lina: Three is the line the company set for this file.
David: One step by HR, one by the employee.
Lina: Whoever holds the document is the one who puts it on the file.
Tile actions
Lina: Hover over a document for its actions: pin, share, lock, a new version, download, delete.
The viewer
Lina: Open it, and the viewer can split a scan, add pages, rotate, or sign.
Lina: Underneath: details, comments, activity and a log —
Lina: and who uploaded it: Layla, not Mariam.
Its expiry
David: Mariam adds the expiry date,
Counting down
Lina: and the tile counts the days: green while there are more than ninety, amber inside ninety, red inside thirty.
What expires, and when
Lina: In time: her visa runs for two years,
Lina: ninety days out, its tile turns amber,
Lina: thirty days out, red.
David: And the contract ends a week after the visa?
Lina: So HR renews both together, inside the amber window — with time to spare.
As a timeline
Lina: One more view: the file as a timeline — today's two on top,
Lina: and the five from her application underneath.
Seven documents, three hands
Lina: Seven documents now, and three ways they arrived.
Lina: Five came with her application, back in March.
Lina: One, Mariam uploaded this morning.
David: And one, Layla sent herself.
Lina: And the file remembers which is which: every document shows who uploaded it,
Lina: with its own activity and its own log beside the name.
Her file, complete
David: Documents used to mean an email with an attachment.
Lina: And nobody knew where it ended up. Here HR asks for a document by name, in the folder it belongs to.
Lina: Layla answers it from her own portal, and the file lands exactly in that place.
Lina: Then the record watches the expiry — amber at ninety days, red at thirty.
David: So a visa never expires by surprise.
All clear
Layla Haddad: I sent the visa from self-service at lunch.
Mariam Saleh: And your file says all clear.
Lina: Next: private — her family, her health, and who may see them.
